Executive Assistant: MATERNITY LEAVE CONTRACT FOR 18 MONTHS

We’re looking for an experienced, reliable and results-oriented Executive Assistant to work directly with our Executive Director.

• Strong interpersonal skills with the ability to take initiative, multi-task, be a team-player, be flexible, adapt to shifting priorities, and prioritize work.
• Strong written and verbal communication, administrative and organizational skills.
• Able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
• Two years’ related work experience.
• Familiarity with non-profit sector administration and working with a board of directors.
• Ability to access a wide range of sources and networks for information.
• Good working knowledge of all Microsoft Office 365 and Google suites, and social media web platforms
A little about what you’ll do:
• Provide administrative support to the Executive Director and Board of Directors. This may include reporting, mailing, Board meeting preparations and record keeping.
• Prepare annual agency reports, with assistance from the Executive Director and Program Managers.
• Membership of the Joint Health & Safety Committee.
• Coordinate and execute internal communications.
• Assist the Human Resources Manager with onboarding and administration of employees, including contracts, onboarding, filing, training, systems access, organization charts.
• Provide administrative support and assistance to Program Managers, Financial Controller and other staff as delegated through the Executive Director.
• Complete other duties as assigned by the Executive Director, which includes coordination of janitorial and building maintenance services.
